Outlined below is the Mallard Accounting privacy policy which is effective from 31st December 2019.

 

In order for you to use our services we will have to collect and process certain information, which will include:

  • Name;

  • Email;

  • Address;

  • Date of birth;

  • Telephone number;

  • Country of residence;

  • Marital status;

  • Login and password details;

  • Identity verification details such as passport, driving licence and National Insurance number

  • Financial information required to carry out our accounting services, such as bank statements, receipts, payroll data and accounting system entries;

  • Communications you send to us.

You may decline to provide us with your information.  However, this will limit our ability to provide an effective service to you. 

 

We use the information we collect for the following purposes:

  • To enable us to provide you with accounting services.

  • To contact you to discuss ongoing accounting services you have authorised us to work on, or to promote new services.

Data protection law in Europe requires a “lawful basis” for collecting and retaining personal information from citizens or residents of the European Economic Area.  Our lawful basis includes:

  • Performing the services you have authorised us to work on.

  • Legal compliance, for example retention of records or pledges and payments made for our services.

  • Legitimate interests i.e. we have a good and fair reason to use your data and we do so in ways which do not hurt your interests and rights.  As part of this we sometimes require your data to pursue our legitimate interests in a way that might reasonably be expected as part of running our business and that does not materially impact your rights, freedom or interests.

The only information that will be shared with trusted third parties is information that is required to fulfil the accounting services you have authorised us to.  Examples of this include the submission of returns to Companies House or HMRC.  None of the information you provide will ever be shared outside of the legal requirements of fulfilling our services to third parties on your behalf or shared or sold publicly.

 

We will retain your information as long as you’re an active client with us as necessary to provide you with the services we provide or as otherwise set forth in this policy.  We also retain and use this information as necessary to comply with our own legal obligations, resolve disputes and protect Mallard Accounting Ltd's legal rights. 

 

All information is stored on an encrypted cloud and hardware locations, and you have the right to access, correct and request deletion of your personal information.  You can request a copy of your personal information, notify us of any updates, or request deletion by emailing us.  No method of transmission over the internet or electronic storage is completely secure, so Mallard Accounting Ltd cannot guarantee its absolute security.
